TechFest 2012 volunteers (Over 16 years of age please)
In addition to the on-going TechFest Core Planning Committee, volunteers are required for program execution in three phases: Pre-Event, Direct Event Support, and Post-Event. All positions are important to assure a smooth running, safe and professional quality event for our attendees and guests.The following is a list of positions by project phase. A short description of the duties for each position follows below.Your volunteer efforts will help assure that TechFest 2012 is successful.
The process for volunteering includes registering for a free ticket for the task, day, time. A ticket will be printed and sent to your e-mail address.
All volunteers are requested to complete a Post Project Review (PPR) Report.PPR Reports are REQUIRED for PMI Members who desire Letters of Participation.All volunteers who complete their commitments and a PPR will receive Certificated of Participation from the Affiliate Societies Council.Since each organization has its own criteria, recipients are responsible to coordinate with their “home society” to determine eligibility for community service “points” or “units”.
In previous years many PMI members have volunteered for two or three 2-hour shifts.

When you have completed registering, a "ticket" can be printed to remind you of your position, day and time. Note: You may wish to print the applicable page of the task description and include it wit the registration ticket that you order.
VOLUNTEER POSITIONS, PRE-EVENT PHASE,
·TechFest Flyer, Prep for Delivery.Approximately 170,000 TechFest “student” flyers need to be packaged for subsequent distribution to approximately 550 school buildings in eight Ohio counties including public, parochial, private, and parochial schools.The flyers will be in a Room of the Ponitz Center (building 12) Sinclair Community College (GPS Address 301 West Fourth Street, Dayton, Ohio 45402). The room will be available for a period of 3 to 5 days of late afternoon and evenings in mid January which is typical to complete the task. Work sessions vary from 2-6 hours. Help what you can. Experienced persons will facilitate the process.Volunteers will be provided all materials and proven instructions.Volunteers for this task will be contacted by a separate e-mail that will include all details when the exact schedule becomes known. ·TechFest Teachers Flyer Delivery, Parochial, Private and Charter Schools. The TechFest Team has partnered with Sinclair Community College to coordinate distribution of flyers to most public schools.We must find other mean to deliver the labeled packages from the preceding task to Parochial, Private and Charter Schools.The flyers for the Saturday Teachers’ Workshops will be available at Sinclair in early January for delivery.Volunteers will need to drive to the schools to deliver the flyer packages during school hours. Depending upon the nuumber of schools and your driving distance delivry may take from 1 hour to one half day. Experienced personnel will provide coaching prior to the task.Volunteers for this task will be contacted by a separate e-mail that will include all details when the exact schedule becomes known. ·TechFest Advocate.Advocates for TechFest promote TechFest for youth and their families with their local neighborhood public school, parochial school, private school, charter school or within a home school network.Additionally, TechFest advocates reach out to youth, their parents, their friends and their relatives through personal networks, employers, and civic, fraternal, and social organizations.An experienced TechFest committee member will provide coaching and promotion information[ACB3].Amount of time and schedule are at the volunteer’s convenience.
·Door Prize Preparation.Registered youth within hour periods are eligible for door prizes.On Wednesday, Thursday, and Friday (Feb 15-16-17), volunteers load bags with the door prizes at Sinclair Building 12.Volunteers for this task will be contacted by a separate e-mail when the room assignment and Sinclair hours are known.Call Ron Julian 937.319.6163 with questions.
Facility Preparation, Persons will assist core commitee members prepare the facility for TechFest. Tasks will include setting signs, arrangin materials, and other light duty tasks.
Registration Handout Preparation. Preapre 3,500 bags for handout. Tasks include (1) Collate exhibit floor plan, exhibit description, Saturday and Sunday program schedule, evaluation, and other TechFest event material (2) place TechFest event material and other handouts into bags for handout, (3) place bags in boxers for registration table. Come wen you can and stay as long as you can, Check in at Room 133 first.
VOLUNTEER POSITIONS, DIRECT EVENT SUPPORT PHASE.
ON the days of TechFest ALL volunteers are to report to Room 133. ADDITIONALLY, PMI VOLUNTEERS for all positions should check in at the PMI exhibit.
·Announcer.Man the Information Desk and make periodic announcements in Building 13.Need good ‘radio’ voice. One each required Saturday 9:30-6 and/or Sunday 10:30-5.
·TechFest Registration, Welcome and register guests, brief guests on handout, materials, provide instruction.Serve in 2-hour shifts. Refer to provided instructions.
·Data Entry, Coordinator. Coordinates and facilitates data entry process of 4 data entry personnel to assure standard/consistent formats and quality of registration data inputs full day commitment is requested to maintain continuity. Collect forms that are used for data entry. One each required for Saturday 10:30-6 and/or Sunday 11-5.
·TechFest Data Entry. Enter Registration data from youth registration forms.Entry template/formats (Excel), personal computers in the Sinclair Conference Center Office, and instructions will be provided.
·TechFest Greeter, “Greeters" are posted at each entrance of Building 12 (4 each) to direct entering people to the Registration, desks, reminding leaving people to completer evaluations, and providing information assistance to all guests. Monitor attendees and contact the TechFest information desk to request Sinclair security for first aid or discipline as required.*
·Bldg 13, AIM Center Monitor,Same as Greeter, above but stationed in Building 13, Ask guests to register if they have not.Support speakers and/or exhibitors as required.Liaison with TechFest Information desk as needed to coordinate support.Monitor attendees and contact the TechFest information desk to request Sinclair security for first aid or discipline as required. Additionally, take attendance at events in building 13 on provided TechFest forms.*
·Building 12Speaker Support.Provide support as required for speakers.Assist speakers prepare stage and props for presentations. May need to adjust lighting and/or contact Sinclair audiovisual personnel. Assist with performance as needed, and assist with packing following performance.Record quantity of adults and youth in speaker sessions on record sheets provided, Persons assigned should meet as a team to coordinate speakers in various rooms and times during the shift.Monitor attendees and contact the TechFest information desk to request Sinclair security for first aid or discipline as required. *
·Door Prize Administration Assistant.Assist Core TechFest Committee person conduct door prize drawings each hour during the both Saturday and Sunday.One each required for Saturday 10-6 and/or Sunday 11-5.
·Door Prize Assistant Runner.Support the Door Prize Administration Assistant by collecting registration and feedback forms; drawing the door prize winners and updating the winner announcements. 2 people in 2 hour shifts
·PMI Exhibit (PM Wizards).PMI Members Only.Conduct Project Exercises at TechFestTM, Coach youth to organize project tasks efficiely and effectively to accomplish project objectives, distribute handouts, record booth activity, and promot professionalism in project managment. 2-hour shifts Project Management (PM) Wizards:Requires Post Project Review Report.
(* positions – It is recommend that volunteers have cell phone available for use during their shift.Except for positions such as Announcer and registration which start early, the 2-hour shifts are within the posted hours for TechFestTM). A TechFest advocate schedules activities at their convenience. )
POST EVENT POSITIONS/Tasks
Post Project Review (PPR) Reports provide trend information for continuous improvement as well as immediate action to assure a quality program for the youth.
·Post Project Review Committee: Analysis of Youth Registration Data (Descriptive Statistics ) Prepare simple descriptive statistical data using data entered from youth registration (Excel).Previous formats used will be provided as examples. Will require interpretation and research to correct "irrational", or unexpected entries.
·Post Project Review Committee: Data Entry and Analysis from Youth Evaluations. Youth prepare "exit evaluation". Data entered from youth registration (Excel). Use data to create profile and descriptive statistics of these youth comments and evaluations. Will require interpretation and research to correct "irrational", or unexpected entries. "Non-parametric" statistics may be applicable. Previous formats (Excel files) and reports will be provided as examples.
·Post Project Review Committee:PM Wizards PPR (PMI Members Only). Compile and analyse data and comments on PPR Reports from PMI members who worked in the PMI Exhibit. PMI Members whe wish evidence of participation for PDU's must complete a PPR Report for any of the position where they worked.
Post Project Review Committee:Registration: Tabulate, Analyse and sumarize PPR data and comments from volunteers who worked the registration process.
Post Project Review Committee: Speaker Support Building Monitors; Tabulate, Analyse and sumarize PPR data and comments from volunteers who supported speakers and Building 13 monitors.
Post Project Review Committee:Greeters, Data Entry. Tabulate, Analyse and sumarize PPR data and comments from volunteers who served as greeters and wo entered data.
Post Project Review:Door Prize Support: Tabulate, analyse and sumarize PPR data and comments from volunteers who supported the door prize process.
Post Project Review:Pre-Event SupportTabulate, analyse and sumarize PPR data and comments from volunteers who provided support to pre-event tasks.
Post Project Review: Summary and Integration Review above sub reports to prepare an oveall summary and recommendations.
